Question 1

How far in advance should I book?

Accepted Answer

We recommend booking 6-12 months in advance for weddings and peak season events (May-September). For corporate events and off-peak dates, 3-6 months is usually sufficient. However, we can sometimes accommodate shorter notice bookings depending on availability. Contact us to check dates for your event.

Question 2

What deposit is required to secure my booking?

Accepted Answer

A 30% deposit is required to secure your booking, with the balance due 4 weeks before your event date. We accept bank transfer, credit/debit card payments. A booking confirmation and contract will be provided upon receipt of your deposit.

Question 3

How do I check if you're available for my date?

Accepted Answer

The quickest way is to use our contact form or call us directly on 01604 123456. We'll check our availability calendar and get back to you within 24 hours with confirmation and a tailored quote for your event.

Question 4

Can I supply my own drinks or must I use your suppliers?

Accepted Answer

We're flexible! You can either supply your own drinks (we'll provide the equipment and service) or choose from our trusted suppliers who offer competitive trade prices. We can help you calculate quantities based on your guest count and event duration.

Question 5

Is bar staff included in the hire?

Accepted Answer

Yes, our standard package includes two experienced, fully licensed bartenders for events up to 150 guests. For larger events or extended hours, additional staff can be arranged. All our staff are professionally trained and hold relevant qualifications.

Question 6

Do you provide alcohol licenses?

Accepted Answer

We hold premises licenses for many venues we regularly work at. For new venues, you may need to arrange a Temporary Event Notice (TEN) with your local council. We're happy to guide you through this straightforward process and can provide all necessary documentation.

Question 7

Can we show any film or content we want?

Accepted Answer

For private events, you can show personal content, presentations, or sports freely. For commercial film screenings, you'll need to obtain screening rights. We can recommend licensing agencies who make this process simple. We provide all technical equipment for any content format.

Question 8

What happens if it rains?

Accepted Answer

Our equipment is designed for outdoor use and can operate in light rain. We always discuss contingency plans during planning - this might include a backup date, covered seating area, or moving to a marquee. We monitor weather forecasts closely and advise on the best course of action.

Question 9

What time does it need to get dark for the outdoor cinema?

Accepted Answer

For optimal viewing, we recommend starting screenings at dusk or after dark. In summer months, this typically means a 9-9:30pm start. We can provide event timing advice based on your specific date and location to ensure the best viewing experience.

Question 10

When do you set up and take down the glamping tents?

Accepted Answer

We typically set up 1-2 days before your guests arrive and collect 1 day after they depart. This ensures everything is perfect for arrival and gives guests time to vacate comfortably. Exact timings are confirmed during planning and can be adjusted to suit your event schedule.

Question 11

Is bedding and linen included?

Accepted Answer

Yes! Each tent comes with quality mattresses, bed frames, pillows, and duvets. We provide basic bedding, but guests should bring their own sheets, pillowcases, and towels. We can arrange premium linen hire as an optional extra if preferred.

Question 12

What facilities are needed for glamping guests?

Accepted Answer

You'll need to provide or arrange toilet and washing facilities. Many venues have existing facilities, or we can recommend luxury bathroom trailer hire. We advise one toilet per 10-15 guests and washing facilities with hot water for comfortable stays.

Question 13

Which areas do you cover?

Accepted Answer

We're based in Northamptonshire and primarily serve Northamptonshire, Peterborough, Cambridgeshire, Rutland, Leicestershire, and Bedfordshire. We also consider events in surrounding counties. Delivery charges may apply for locations outside our primary service area - contact us for details.

Question 14

What do you need at the venue?

Accepted Answer

Requirements vary by experience but typically include: level ground access (with adequate width for equipment), power supply (13amp or 32amp depending on setup), and vehicle access for delivery/collection. We conduct site visits for larger events to ensure everything is perfect.

Question 15

Are you insured?

Accepted Answer

Yes, we hold comprehensive public liability insurance (£5 million cover) and equipment insurance. We can provide certificates of insurance for venue requirements. All our staff are trained and qualified, with relevant health and safety certifications.

Question 16

What payment methods do you accept?

Accepted Answer

We accept bank transfer (BACS), credit and debit cards, and can arrange payment plans for larger bookings. Deposit payments secure your booking, with the balance due 4 weeks before your event date.

Question 17

What is your cancellation policy?

Accepted Answer

If you cancel more than 12 weeks before your event, we refund your deposit minus a £150 administration fee. Cancellations 8-12 weeks before lose 50% of the deposit. Less than 8 weeks, the full deposit is non-refundable. We strongly recommend event insurance for peace of mind.
